Rules and Regulations for the Issuance and Return of Sports Equipment:

The Sports Committee has established the following rules to ensure the proper utilization, safety, and accountability of all college sports equipment. All students must strictly adhere to these regulations.

1. General Eligibility

• Only current students of Panchakot Mahavidyalaya with a valid College Identity Card / Admission slip (for Sem-I until I-cards issued) are eligible to borrow sports equipment.
• Equipment will be issued on an individual basis. The student who signs the register will be held personally responsible for the borrowed items.
• For team games like football, cricket, badminton, and volleyball, one student or the representative of the whole team(s) must take responsibility for the borrowed item(s).

2. Issuance and Timing (Lending Time)

• Equipment will be issued for a maximum duration of single-day use only.
• No equipment will be lent out overnight or taken outside the college campus.
• Lending Window: Equipment can be borrowed from the Sports Room / Office Room between 11:30 AM and 1:30 PM on working days.

3. Return Procedure (Submitting Time)

• All borrowed equipment must be returned on the same day.
• Submitting Window: All items must be returned no later than 2:30 PM.
• The student must ensure that the return is acknowledged, and the Submitting Time is explicitly recorded in the register by the authorized official.

4. Register Documentation
Before leaving the sports room, the borrowing student must accurately fill out and sign the Sports Equipment Register. The entry must include:

• Student’s Name, Roll Number, and Department/Semester.
• Name and quantity of the equipment.
• Exact Lending Time (with student's signature).
• Exact Return Time (verified by the sports staff upon return).
• Every student must submit their Identity Card to the Sports Committee-authorised person or attendant at the time of borrowing sports equipment. Sri Achinta Chakraborty is the authorised person for this lending procedure.

5. Damage and Loss Policy

• Students must inspect the equipment for any existing damage before borrowing it.
• If any equipment is lost, misplaced, or damaged due to negligence, the responsible student will be liable to replace the item or pay a fine equivalent to the current market cost of the equipment.
• Failure to return equipment on time or causing intentional damage will result in a suspension of sports privileges for the remainder of the semester.
